The Woodbridge Village Association is proud to offer the rooms of the Woodbridge Community Center, pools, parks, and beach clubs for your special occasions. The information contained in this pamphlet is designed to help you prior to completing a Facility Rental Agreement. Rental Requirements

1 The resident who signs the Facility Rental Agreement must be a legal owner of record or properly registered tenant-occupant and must present his/her Facility Identification when renting a facility.
2 All rental agreements must be completed at the Association Office during business hours.
3 The resident is fully liable to pay and assumes all liability and holds harmless the Woodbridge Village Association from any and all claims.
4 Any damage caused to Association property/facilities shall be the responsibility of the resident signing the Facility Rental Agreement.
5 The resident or designate must be in attendance at the facility at all times, including setup and cleanup (arrival/departure of caterers, entertainers, florists, etc.)
6 Prior to completing a Facility Rental Agreement, residents should refer to the current WVA Code Book for detailed rules, regulations, and policies pertaining to facility rentals.

Fees

1 A Facility Rental Agreement must be completed in full and accompanied with full payment of all fees and deposits at the time of the reservation.
2 Rental fees for any agreement written less than ten (10) days prior to the facility rental must be paid by money order or cashier's check (no personal check or cash).
3 All fees, deposits, etc. must be paid by the resident signing the contract.
4 No business checks will be accepted.

Usage Fee
Rental fees vary according to facility and rental time period. Refer to the Facility Rental Fee Schedule.

Deposit
A deposit of $250.00* is required on all rentals. All deposit checks will be cashed when received.

Facility Liaison Fee
A Facility Liaison may be required, at the Association's sole discretion, to monitor and protect Association property and interests. The current fee is $25.00* per hour per Facility Liaison.

Lifeguard Fee
A Lifeguard may be hired upon request for pool facility rentals. The current fee is $25.00* per hour per Lifeguard. If activities include swimming during a beach club rental, a minimum of three (3) Lifeguards are required.

Late Fee
If usage exceeds the agreed rental time period, a Late Fee will be charged in half-hour increments equivalent to one-half the rental fee.

Cancellation Fee
A Cancellation Fee of $25.00* or half the rental fee, whichever is less, will be charged for canceling the facility rental once processing has begun. Cancelation of the facility rental must be made in writing or in person at the Association Office, no later than ten (10) days prior to the requested rental date in order to have any applicable amounts refunded. Your copy of the Facility Rental Agreement must be rendered to process a cancellation.


General Policies

1 Facilities are rented on a first come, first serve basis; certain restrictions apply.
2 The use of Woodbridge Village Association property, facilities, equipment and furnishings are the exclusive privilege of Association members and their guests. They are not to be used for any purpose in violation of applicable city, county, or state statutes, or Association Rules and Regulations or policies.
3 Money or fees exchanged for entrance into the activity/function is strictly prohibited.
4 Food/Alcoholic beverages can only be served, not sold.
5 Decorations are permitted; certain restrictions apply.
6 Rice, birdseed, or confetti throwing is prohibited.
7 Association facilities may be rented for political events under certain guidelines.
8 Smoking and any open flame (candles, tiki torches, etc.) are prohibited in all Association indoor facilities.
9 WVA parking lots or parking spaces are restricted to a first-come, first-serve basis only.
10 You may obtain a parking variance for street parking by calling the Irvine Police Department at (949) 724-7037.

Community Center Building

1 The Association will setup and breakdown all supplied Association equipment (tables, chairs, stages, microphones, etc.). Microphone and round tables are not available to rooms on the first floor. Resident must supply the Association with a setup diagram (displaying placement of tables, chairs, etc.) a minimum of ten (10) days in advance of the rental date. Upon request, the Recreation Staff will be happy to assist in developing a setup diagram. Residents are given two hours to setup prior to their rental period at no charge. Additional setup time (beyond two hours) can be requested at a charge of $20.00 per hour.
2 The firstplace is available for use – please contact the Association Office for more information.
3 Reservations may be made a maximum of six (6) months in advance. Reservations may be made one (1) year in advance when renting the Oak, Maple, and Elm Rooms altogether on a Saturday. Cancellation fees for one (1) year reservations are on a prorated basis. Refer to the Association Office for specific details.
4 Live entertainment may be permitted with prior written approval from the Association Office. No amplified music will be allowed.
5 Dancing is permitted in the Oak, Maple, and Elm rooms only. Dance floors may be rented for other rooms from an outside company.
6 Rentals reaching and exceeding seventy-five (75) people, as well as any parties with a D.J., must have a Facility Liaison present for the duration of the rental.

Pools, Parks and Beach Clubs

1 Designated pools may only be rented once a month. The areas outside the gated pool facilities are available to all residents on a first come, first serve basis.
2 The beach clubs cannot be rented on two consecutive weekends, nor can both clubs be rented on the same night.
3 The general membership will be notified of a private party through a sign posted at the facility 72 hours prior to the rental.
4 Reservations may be made a maximum of six (6) months in advance.
5 Glassware is not permitted at any of the outside facilities except inside the South Lake Recreation Room (glassware cannot be taken outside into the beach club area) and Arbor Park.
6 D.J. music is only allowed at the North and South Lake Beach Clubs when accompanied by a Facility Liaison.
7 The Association requires music to be turned off at 10:00 p.m. Noise must be maintained within acceptable levels at all times. Acceptable levels will be determined by Association staff.
8 Setup and cleanup must be conducted within the 3 or 6 hour rental periods.
9 Lifeguards may be hired upon request. Three (3) Lifeguards are required if activities include swimming during a beach club rental.
10 Rental reaching and exceeding seventh-five (75) people, as well as any parties with a D.J., must have a Facility Liaison present for the duration of the rental.
11 Amusement Rentals (e.g. pony rides, petting zoos, moon bounces, carnival rides, etc.) may be permitted with prior written approval from the Association Office accompanied by a Certificate of Insurance for general liability naming Woodbridge Village Association as additionally insured in an amount of not less than one million dollars ($1,000,000) and, when applicable, a Certificate of Workers Compensation.

Refer to the Woodbridge Village Association Code Book for specific rules and regulations regarding facility use and rentals.

*All fees, deposits and charges are subject to change by the Board of Directors.
