November 2009
During the November 18, 2009 meeting:
Rand Singer recommended Staff review of the Lemongrass pool deck. Tim Lett advised that he and his Staff will check it out right away.
     The Facilities Committee discussed and unanimously approved the Re-Fiberglass at Blue Lake Swim Club Pool, Spa & Wader, Shorebird Spa, Springvale Spa, Stonecreek Spa, Wintermist Spa and Woodspring Spa.
Tim Lett noted the following items are in progress.
Re-roofing at South Lake Beach Club, South Lake Tennis Club & Woodflower.
Deck replacement around pool at Wildwood.
Request For Proposals are out for Lagoon Water Clarity Consultants

October 2009

The Facilities Committee complimented Tim Lett and Staff on the outstanding appearance of our North and South Lake Bridge.
   The Facilities Committee discussed and unanimously approved heater replacements at: Ashwood pool (2), Blue Lake Swim Club wader, Briarglen pool (2), Firwood wader, Meadow wader, Smokestone pool and spa, and Windjammer spa and wader.
   Tim Lett noted the following items have been completed:
North and South Lake Bridge painting has been completed.
Blue Lake Swim Club sign has been replaced.
Blue Lake Swim Club Salt System has been installed.
Decorative rocks at South Lake Beach Club were settled below normal level by staff and covered with sand for homeowner safety.
North and South Lake filtering tanks and plumbing have been removed to create more storage area, and also, this has eliminated the unsightly view for homeowners.

September 2009
During the September meeting, the Facilities Committee discussed and unanimously approved the following recommendations:

Roof replacement at South Lake Beach Club, South Lake Tennis Courts and Woodflower Facility.
Replacement of pool decking at Woodpine and Wildwood facilities.
Tim Lett noted the following items have been completed or are in process:
South Lake Bridge painting on schedule and looks great!
North Lake Bridge painting preparation by staff completed – Ready for Contractor
New doors installed at Creekside Pool restrooms due to vandalism.
Lagoons to be drained and non-year round facility heaters to be turned off on September 28th. Non-year round facilities will be closed on October 31st.

August 2009
Kay Phillies described to the Facilities Committee the New Communities Tour to Turtle Ridge, Quail Hill and Woodbury, which took place on August 12, 2009. Members attending the tour were Kay Phillies, Mark O’Connell and Louise Lopeman, along with Board Liaison Barry Katz, four other Directors from the WVA Board and Staff members Tim Lett, Bob Figeira and Kevin Chudy.

Tim Lett discussed the use of materials, the typical upkeep that is required, as well as costs of construction of the types of facilities that were included on the tour. Louise Lopeman gave additional observations.
The Facilities Committee discussed and unanimously approved the proposal to replace the sidings at Stonecreek Swim Club with an insect repellent and fire resistant cementuous type siding.
Tim Lett noted the following items have been completed or are in progress:
North and South Lake Bridge – Repairs for painting continuing
405 Fwy – 600’ fence replaced with Timbercrete
Springvale Salt System Installed
1st Floor Maintenance office/Lunch room – Paint and new flooring installed
Facilities Quadrant Inspection items – Completed

July 2009
Tim Lett and the Facilities Committee thoroughly discussed Quadrant Inspections which are done by Committee members annually. It had been suggested by the Board Liaison at our June meeting that Quadrant Inspections be increased to quarterly or semi-annually. After discussing, the Staff and Committee consensus was that the annual inspection is sufficient. The Facilities Committee voted to keep Quadrant Inspections on an annual basis.
     The Facilities Committee unanimously approved the proposal to replace the siding at Lemongrass facility with an insect repellent and fire resistant cementuous type of siding.
     Bob Figeira, WVA Executive Director, introduced our new WVA Executive Director, Kevin Chudy, to the Facilities Committee. All members of the Facilities Committee welcomed Kevin and we wish him the best.
     Tim Lett noted the following items have been completed or are in progress:

Shorebird Facility: Repaired walkway sections.
Smokestone Bldg.: Repaired exterior
North and South Lake Bridges: Repairs made in preparation for painting.
Echo Run: Removed large roots and replaced entry concrete.
Blue Lake Swim Club Salt System: Taking request for proposal
Items noted on Quadrant Inspections nearly completed
Working with IRWD on Lagoon water clarity



 

June 2009

Tim Lett and staff are working on Quadrant Inspection items.
Berm at Jeffrey and Alton and Culver has been dug-up due to dead grass.
The Facilities Committee unanimously elected Kay Phillies as Chairman and Mark O’Connell as Vice-Chairman.
Tim Lett advised that the following work has been completed or is still in progress:
The Shuffleboard has been resurfaced and the shade cover completed at Pebblewood
Stone Creek Tennis Courts: Courts # 21-22 resurfaced
Removed and replaced broken concrete at: Bike path, South Lake Beach Club to bridge.
Timber Run pool deck section.
Wildwood Park entry section
Working on Quadrant Inspection items.
New trellis/chain link roof and added doors at Lemongrass to protect equipment from vandalism.
New motors installed on lifeguard boats at North and South Lake.
Fumigation of bridges. Preparing for painting
The Facilities Committee discussed the frequency of Quadrant Inspections and are considering quarterly or bi-yearly inspections instead of once a year. Discussion to be continued at the July meeting.

May 2009
Members of the Committee complimented Tim Lett and his staff on how impressive the continuing work on rebuilding the Pebblewood shade structure has been. It has been very interesting to follow the progress.
     North and South Lake Bridge Painting was discussed. Tim Lett described how the contractor would be scrapping, sanding and priming before the final paint coat is applied. The Committee voted unanimously to approve the bridges painting proposal by PrimeCo Painting. Tim Lett will be monitoring the bridges to repair or repaint any sections as necessary to try to lengthen the time between total painting of the bridges.
     Committee members selected the following Quadrants for inspection:
Quadrant 1 Rand Singer and Don Rousso
Quadrant 2 Kay Phillies
Quadrant 3 Mark O’Connell and Louise Lopeman
Quadrant 4 Steve Babyak

Tim Lett advised that the following work has been completed or is still in process:
Slurry Sealed: Stonecreek Swim Club, Arbor Park, NL Bike path near the small bridge.
North and South Lake Bridge were fumigated
North and South Lake Lagoons: are being filled with water for the summer season.
South Lake Beach Club: Added sand
North Lake: Relocated bollard for additional stage power and safety.
South Lake Tennis Court: Added bench
Pebblewood: In the process of rebuilding facility shade structure.
Echo Run: Replaced missing speed dots.

April 2009
Quadrants for our yearly inspections will be selected by Committee members in May. Inspections to be completed by June meeting.
Discussed ideas for possible doggie bag sign on doggie waste bag dispensers asking to limit usage. Committee decided to put a notice in our monthly WVA Reflections.
After discussing the recommendations submitted by Tim Lett, the Facilities Committee voted unanimously on the following items to send to the Board for approval:

Replace the section of the wooden fence along 405 Fwy behind Clearbrook Park.
Purchase ECOmatic Salt Chlorination system for Springvale pool and spa.
Tim Lett advised the Facilities Committee of recent repairs:
Replaced sections of Clearbrook Pool deck.
Repaired bollard lights at North Lake Tennis Courts
Miscellaneous repairs: Completions of doors, walkways, lifeguard stands.

March 2009
During Committee input Mark O’Connell suggested a sign be added to doggie bag dispensers to discourage individuals from taking more than one bag. Rand Singer to draw up some sign ideas.
North Lake Lagoon was again discussed.
After a thorough discussion of the recommendations submitted by Tim Lett, the Facilities Committee voted unanimously on the following items:

1. One Golf Cart replacement. 
2. Replace two North and South Lake Lifeguard Boat Motors.  
3. Install new vinyl tile flooring in the Maintenance Building. 
4. Salt Chlorination System for Springvale facility was moved to April meeting as bids were not yet submitted. 

Tim Lett advised the Facilities Committee of the following:
1. Installed new drain and concrete curb at North Lake Bridge landing east (tennis courts side) – New drain to replace no drainage previously.
2. Removed and replaced cracked and broken concrete at North Lake between playground and lake – concrete now safe at N.L playground.
3. Completed painting of new trim and siding at Fallbrook.

     Before the Facilities Committee adjourned, Bob Woodings announced that he will be leaving the Facilities Committee to run for the WVA Board of Directors. The Facilities Committee wishes to sincerely thank Bob for his expertise, insight and excellent input over this past year. Bob has been invaluable to our Committee and we wish him every success as he runs for the Board.

February 2009
The Online Survey was discussed. Also the Tennis Courts were discussed.
After a thorough discussion of the recommendations submitted by Tim Lett, the Facilities Committee approved the following;
  ° Creekside and Shorebird patio covers replacement was approved.
  ° Resurface of Tennis Courts at Stonecreek Swim Club and Shuffleboard courts at Pebblewood Park was approved.
  ° Parking lots and slurry seal at Stonecreek and North Lake Beach Club was approved.
  ° North and South Lake Bridge extermination was approved.
Tim Lett and the Facilities Committee discussed and voted on the following items:
  ° Beach Club Fire Pits Rules – Erik Bajorek created excellent rules and sent us a memo of the rules. The Committee approved the rules unanimously.
  ° Pebblewood Park Patio Cover - Motion to remove shade structures, add security light bollards and reevaluate replacing shade structures. The Committee approved this unanimously.
Committee discussed the North Lake Lagoon. Staff recommends raising the bottom to provide 3’ max depth which requires 7,000sf. Cost will be approximately $60,000. This would increase useful service 40% - 50%. The Committee approved the idea unanimously.
Tim Lett advised the Facilities Committee of the following:
  ° The Board of Directors approved the replacements of pool heaters.
  ° Echo Run - Staff fabricated and replaced custom built bench.
  ° Stonecreek Swim Club - Replaced floor drain at women’s restroom. Removed and refinished shower benches at men and women’s restrooms.
  ° Briarglen – Replaced rusted deck drains
  ° North Lake Beach Club - Removed and replaced broken lagoon walkway sections, and also, a damaged section of perimeter fence was replaced.
  ° The plans for a Landscape Committee were dropped.

January 2009
Frank Vodhanel has created a new online survey to replace the current survey. The new survey covers a rating system for general facility components.
     The topic of changing the types of drinks in the tennis court vending machines was discussed. Though we don’t have direct control over the outside vendors stocking of machines, Tim Lett will pursue getting it stocked with more water and Gatorade than soda.
     The WVA Board of Directors is discussing and researching a pine tree cell tower installation and the visual impact at Springacre Park
     North Lake Beach Club volleyball court lighting is still under discussion.
     After a thorough discussion of the recommendations submitted by Tim Lett, the Facilities Committee approved the following;
•  Pebblewood patio cover replacement was approved.
•  Pool heater replacement approved with a recommendation that nickel tubing will be researched prior to purchase.
•  The purchase of a used commercial compressor and breaker was approved.
